The Onboarding Process

After we finalize your contract, we have a welcome call to better understand your current pain points, your goals, and how we can best support you. We’ll discuss details like your typical invoice amounts, how frequently you need funding, and your unique requirements.

If you’re new to payroll funding, we’ll spend extra time explaining the process before setting up your online portal. If you have experience with factoring, we focus on integrating our services with your existing workflows.

After the welcome call, we assign you a dedicated Account Executive (AE) who will be your day-to-day contact. They’ll ensure a smooth onboarding process and help you get comfortable with our online portal and internal systems. Our AEs are experts in areas like VMS billing, timekeeping, and invoice submission – they’ll make sure you’re set up for success from the start.

The onboarding phase typically takes around 30 days, which aligns with your first full billing cycle as an Encore client. By the end of that period, you’ll have a clear understanding of our processes, the tools at your disposal, and how to maximize the value of our partnership.

Value Added in Payroll Funding Onboarding

One of the biggest value-adds we provide is our in-house credit analysis. We pull Dun & Bradstreet reports on your key customers to assess their creditworthiness. We’ll review their payment history, financial stability, and any red flags, then work with you to structure your billing terms accordingly.

This upfront credit review removes much of the risk and uncertainty from extending credit to your clients. It’s also an ongoing process—we continuously monitor your customers’ profiles and alert you to any changes that could impact your cash flow.

 

 

Ongoing Support from Your Dedicated AE

Once you’re up and running, you have access to your AE via email or a phone on a daily basis. They help process your funding requests and collect outstanding payments from your clients. For example, if a long-time client starts stalling payment, your AE would proactively reach out, pull a new credit report, and advise you on the best course of action.

Your AE would first try to resolve the issue directly, but if collections efforts stall, they can escalate to our in-house legal team. Our legal counsel has extensive experience navigating tricky payment disputes and can pursue more formal collection actions on your behalf.

Your AE will also proactively assess how you can benefit from our strategic advisory services. When needed, they’ll leverage our expert resources, like our general counsel and credit department, to help you navigate challenges, identify new opportunities, and make the best decisions for your staffing agency.

Similarly, if you’re looking to expand into a new vertical like government contracting or vendor management systems (VMS), we can connect you with subject matter experts who can offer strategic guidance. We’re always here to help you identify and capitalize on growth opportunities.

Transparency Through Our Online Portal

We encourage every client to use the portal for up-to-the-minute information on their accounts. If you ever need help, your AE is always just a phone call or email away.
